About the Opportunity:

The College of Arts, Media and Design is looking for an Administrative Coordinator to support its Coop and Advising departments. 


The Administrative Coordinator is responsible for developing effective systems for managing the CAMD Advising and Coop departments’ administrative and operational needs and for providing planning and oversight for the CAMD Advising and Coop suite.

This Administrative Coordinator will support the Coop Department by creating and updating company contact and job records in NUworks, sending and tracking scholarship information to all students, scheduling course sections, coordinate with the Registrar on room placements, and overseeing coop event operations.

The Administrative Coordinator will support the Advising Department by working with advisors, students and other colleges on the process for petitioning, tracking and evaluating transfer credits, and train new academic advisors on transfer credit procedures. They will also manage the CAMD Advising inbox and process all minor requests, assist in the advertisement of on-campus events and courses to students, and administer basic academic advising and maintain ability to read degree audits.

They will provide a comprehensive range of duties to ensure overall efficiency of daily operations in the office, including meeting logistics, contact and department coverage lists. Responsible for managing and maintaining office supplies and equipment, as well as overall office maintenance (ordering, repairs, clean–up of all common areas in office which could require collaboration with facilities department). 

This person will manage the financial activities of the CAMD Advising and Coop Departments by managing/monitoring the budget/spending; tracking expenses through Concur and expense reconciliations; completing monthly budget tracking reports; executing contracts, purchase orders, and payments to vendors; prepare periodic reports to brief directors on departmental budget issues.

This person will have the responsibility of hiring and training staff of work-study students. This includes the recruitment and hiring process, training, scheduling, and supervision to serve as the central communication resource for the office by providing customer service to NU community and public. This includes welcoming and assisting visitors, fielding incoming calls, sending messages and/or answering questions, and addressing any immediate concerns and problems. 

They will support the Student Persistence Specialist in managing and growing peer mentor program, They will work with Director of Diversity Initiatives and Engagement on student integration and outreach including potentially peer mentors. This includes assisting in developing and implementing programming for newly admitted students including, traditional Fall Admits, and transfer students.

The Administrative Coordinator will coordinate and direct the flow of student services for up to 1,600 CAMD undergraduate students. Provide thorough and firm direction, ensuring a welcoming office atmosphere that is responsive to student, faculty, and staff needs. Must be able to accurately interpret student, parent, staff and faculty requests, effectively analyze the request and provide accurate referrals. This position requires an ability to handle situations of student crisis and frustration. Responsibilities include serving as the front-line person for the college regarding undergraduate and graduate inquiries, requests for information and requests for appointments. Additionally, working with students in person, on the phone, and via email, maintaining daily front office coverage and operations, accurate and confidential record maintenance, coordination of appointments and meetings, advising students when appropriate, making referrals when necessary and liaising between students and university offices as appropriate.

The candidate must possess excellent verbal and written communication skills and do so professionally and effectively. Manage relations with key constituents and communicate with the staff to delegate and/or follow-through on responsibilities as appropriate.



Bachelor’s degree required. Minimum of 3-5 years of experience required, preferably in higher education or an executive setting. Individual must have strong organizational, communication (both verbal and written), managerial and interpersonal skills. Must have project management ability, the ability to independently prioritize and manage tasks and demands along with excellent attention to detail. Must have excellent computer skills and be proficient with Microsoft Office applications such as Word, Excel and PowerPoint.
