About the Opportunity:

Under the direction of the Sr. Director of Athletic Facilities and Centralized Event Srvices, the Associate Director of Centralized Event Services is responsible for leading the design and development of a centralized event operation that will develop a systematic, centralized means for managing the use of university venues and resources for internal and external stakeholders. In addition, the position will develop strategies for optimizing the use of the EMS software, by upgrading and enhancing process and procedures.

 

Responsibilities:

The individual will also develop a comprehensive training program for the development and utilization of all event related software in order to streamline process. The individual will have to foster community relations, so as to promote the changes in “standard operating procedures” and to emphasize the efficiencies of a “one stop shop” strategy for event services. This strategy will be successful by developing and maintaining well thought out policies, procedures, websites and systems designed to enhance the user experience. It will also require the development of a digital event handbook as well as an orientation and workshop on new procedures. The development and success of a centralized event services will require the training and development of staff and events managers who understand client relations, building operations, crowd control, and current regulatory code. This will be accomplished by developing and stewarding key internal relationships to maximize operational efficiencies through staff development and cross training so that the department can continue to utilize building services personal for event setup and breakdown. In addition, the individual will be able manage external contractors, as well as work with University trades & operations staff. The position will interface with key departments, including admissions, Commencement, Orientation, special events, presidential events, senior leadership and Planning.

• Skilled in project management
• Knowledge of KPIs and techniques for event management
• Computer savvy; proficient in MS Office
• Outstanding communication and negotiation ability
• Excellent organizational skills
• A knack for problem-solving
• Customer-service oriented
• A team player with leadership skills
• Experience in, operations and vendor management
• Bachelor’s degree in related field, Master’s degree preferred or job-related experience
• Must be available 24/7 for emergencies, consultation & call in’s
• Must be available for weekend and night work as needed

 

Qualifications:

The individual will have a bachelor’s degree with a master’s degree preferred and a minimum of 5 years’ experience, servicing major events including athletic events. In addition, the individual needs to have experience with working within a University setting and adhere to all rules, regulations and policies set forth by the University

Responsibilities will also include working a flexible schedule, including some evening and many weekend events. On-call twenty-four hours a day for emergency problems relating to buildings, equipment and security. Ability and commitment to work weekends in addition to regular hours a must. A background in developing event management contracts/licenses for: sound, lighting, entertainment, special permits, and insurance. Excellent communication and organization skills required.
