About the Opportunity:

The Center for Advancing Teaching and Learning Through Research (CATLR) inspires, equips, and connects learners, educators, and scholars to design, integrate, and research learning across experiences. CATLR supports educators from across the university as they create integrated, cohesive, and powerful learning experiences regardless of location or mode of engagement. The CATLR team is dynamic and highly collaborative, and has gained national visibility spearheading initiatives such as Self-Authored Integrated Learning.

The Administrative Assistant will perform a variety of administrative responsibilities to support day-to-day operations for the Center. This role also supports the day-to-day management of the CATLR print and digital communication efforts across a variety of channels, including the website, e-newsletters, and social media.


Reporting to the Assistant Director of Operations, the individual in this position will work independently and collaboratively to provide comprehensive administrative support for the Center for Advancing Teaching and Learning Through Research (CATLR), including:

• Interacting with University personnel as well as external contacts and referring them to appropriate Center resources or to other University units, as needed;
• Managing projects from beginning to completion;
• Coordinating scheduling, setup, and other logistics (e.g., room reservations, technology, catering, promotion) for day-to-day, small-scale, and large-scale events (including an annual, University-wide conference);
• Planning, executing, and monitoring various administrative aspects of projects;
• Coordinating schedule/calendar management for CATLR leadership;
• Maintaining minutes for day-to-day and key strategic planning meetings across the Center;
• Coordinating the timely development and production of various informational and promotional materials for the Center (e.g., brochures, e-newsletters, web and print collateral);
• Monitoring for accuracy and updating various websites, email campaigns, and social media presences in support of various marketing and outreach efforts;
• Managing databases and records, including data entry and analysis;
• Preparing, processing and monitoring budget expenditures, maintaining tracking reports, and coordinating purchasing and reimbursement efforts;
• Working closely with the other members of the Operation and Planning team to hire and supervise student employees; and
• Providing other mission-critical support as needed.


Qualified applicants must have a bachelor’s degree plus 3-5 years of administrative experience, preferably in a college/university setting. Other required qualifications include candidates that:
• Are self-motivated, technically competent, and capable of handling a variety of tasks simultaneously;
• Have strong communication (oral and written), interpersonal, analytic and organizational skills;
• Are able to maintain confidentiality and exercise discretion and independent judgment;
• Can perform at a high standard exhibiting attention to detail in a demanding and fast-paced environment; and
• Have experience effectively utilizing Microsoft Office applications such as Outlook (specifically in a scheduling/calendar management capacity), Word, PowerPoint, and have an advanced working knowledge of Excel.

Preferred Qualifications:

 • Familiarity with Mac operating systems;
• Experience with basic web maintenance and web content creation (particularly within the WordPress platform);
• Knowledge of Customer Relationship Management applications;
• Familiarity with email campaign software;
• Demonstrated experience in developing promotional and informational materials; and
• Knowledge of content creation/curation platform such as Wordpress, Adobe Creative Suite, Mailchimp, photography/video, graphic design; and web design.
