About the Opportunity:

The Khoury College of Computer Sciences is seeking a dynamic Administrative Assistant who will provide integral administrative and clerical support to the Manager of Faculty Affairs and the Senior Associate Dean of Academic Affairs. This role will report to the Manager of Faculty Affairs. Under the direction of the Manager of Faculty Affairs they will work as part of an administrative team supporting the day to day operations of a busy, academic environment.

 

Responsibilities:

Provides general office support, including, but not limited to, answering phones, responding to phone and email inquiries, and filing.

Coordinates travel arrangements including international travel for faculty occasionally.

Compiles and prepares meeting materials. Double checks all information to confirm accuracy.

Creates and organizes visits with faculty and administrators and manages scheduling logistics and itineraries.

Schedules and books meeting rooms. Sets up meeting rooms and prepares meeting materials and technology in space.

Additionally will also provide core administrative support to several College committees including but not limited to the Awards Committee, Sabbatical Committee, and the Bylaws Committee.

Provides timely processing of all expense receipts.

Will be responsible for the preparation and delivery of sensitive faculty documentation (for example faculty ballots).

Faculty meeting organization including but not limited to managing attendance, RSVP’s, and catering order.

Hiring and managing of work study students.

Faculty concur oversight and management.

And other duties as assigned.

 

 

Qualifications:

 

Associate’s degree required, Bachelor’s preferred with 2 – 4 years of office experience and previous experience working in higher education.

A successful candidate will have a high degree of flexibility, diplomacy, customer service and organizational skills with a demonstrated ability to handle multiple tasks simultaneously.

Able to work independently but within strategic framework. A successful candidate will be comfortable taking initiative, but also knows when to ask for help.

Must possess exceptional calendar management skills.

Must possess strong interpersonal, oral, written, and time management skills, along with tact, poise, mature judgement, diplomatic skills, and discretion.

Must be able to handle sensitive material, maintain highest level of confidentiality, set priorities and work independently and as part of a collaborative team.

Demonstrated ability to work independently, take initiative, multitask and prioritize in fast-paced and high-pressure environment; accuracy and attention to detail; excellent judgment; demonstrate courteous and professional manner; diplomacy and problem-solving skills.

Must be able to maintain high level of confidentiality.

Exemplary communication, time management and organizational skills required.

Strong MS Office (Word, Excel, PowerPoint) and experience with database software. Wiki confluence experience a plus, but not required.

Proficiency in answering and directing phone callers.
