About the Opportunity:

The College of Professional Studies (CPS) is seeking an energetic, passionate and detail-oriented professional to assist with the planning and execution of event services necessary for the successful production of events. Under the direction of the Events Manager and in collaboration with other members of CPS, the Events Assistant will provide administrative support by conducting event research, handling phone/email inquiries and information requests, and performing clerical functions such as preparing correspondence such as memos and emails.


The successful candidate assists with planning logistics for each assigned special events. Supporting actions include, but are not limited to: identifying and securing event space; identifying, negotiating with, and hiring service providers; developing external and internal relationships with stakeholders; interfacing with attendees; and tracking information pertaining to each event. The Assistant is responsible for ensuring that the multitude of details and mechanics required to execute high quality special events are flawlessly orchestrated from start to finish. The Assistant will also keep updated records of protocols and procedures for CPS and maintain inventory documents of event supplies at CPS.

This position requires exceptional interpersonal skills, analytical skills, attention to detail, time management, and the ability to work independently and collaborate with a team. The Assistant must be willing to take on a variety of tasks and rise to challenges as they occur. The successful candidate will think proactively and take initiative.


Bachelor’s degree in related field and at least 2-3 years of event planning experience required. Excellent organizational and communication skills, both verbal and written, are critical. The Event Assistant must have the ability to maintain a high level of accuracy in preparing and entering information, and strong attention to detail. The Assistant must have the ability to work in a fast-paced environment, exercise strong problem-solving and decision-making skills, and exhibit high levels of customer service and professionalism, particularly in stressful situations. The Assistant must have a strong ability to multi-task, prioritize, and see projects through from conception to execution. Superior guest relations skills are essential. High proficiency in computer systems and applications including Microsoft Word, Excel and Outlook is required. Working knowledge of event systems such as Constant Contact, CVENT or Attend are a plus. Proficiency required with data input, data extraction, and assembly of data and information (i.e. mailings, guest lists). Ability to perform a variety of administrative assignments requiring exercise of independent judgment. The Event Assistant will need to have thorough knowledge of general office practices, organizational policies, procedures, and equipment, the ability to apply policies and procedures to solve everyday issues, and the ability to exhibit confidentiality. The candidate must be able to occasionally lift items weighing up to 30lbs. Occasional evening or weekend work may be required.
