About the Opportunity:

The Administrative Coordinator will manage the day-to-day operations of the San Jose site and will serve as the primary point of contact for the staff, students and visitors to the campus. The Administrative Coordinator will provide seamless service as the first line of contact to students, prospective students, corporate partners, alumni and visitors, including greeting, providing information and referrals, answering telephones, and referring calls and visitors to the appropriate staff. The Administrative Coordinator will be able to respond and assist visitors on a broad range of issues and will have a strong network of connections on the other campuses, in the colleges and administrative offices in Boston to refer students to after initial assistance. The Administrative Coordinator will also provide executive support to the Regional Dean and will serve as the primary point of contact for all essential matters, and act as a liaison between the Regional Dean and senior leaders, external partners, and other stakeholders. 

Responsibilities:

The Administrative Coordinator will be responsible for developing effective systems for managing the Regional Dean's administrative needs and for providing planning and oversight to make certain that their time is effectively allocated and information is sufficiently presented to advance their priorities. The incumbent must be able to communicate professionally and effectively on behalf of the Regional Dean both orally and in writing and will manage relations with key constituents and communications with senior vice presidents, vice presidents, board members, deans, senior staff and their staff. The Administrative Coordinator will provide a wide variety of organizational support for the Regional Dean including drafting and typing correspondence, and will assist with everything from photocopying to preparing creative and dynamic presentations. Under the direction of the Campus Operations Manager and the Campus Dean, the Administrative Coordinator will assist with the management of the San Jose campus through effective/efficient management of the day-to-day site operations including personnel and financial transactions and serves as the first line of operational decision making for the site. He/she establishes and directs the administrative operations of the site, and manages business transactions with Boston-based staff. Site operations includes maintaining a safe and effective environment for students, faculty and staff; assisting faculty with classroom set ups and requests and working with building management and vendors to provide an optimal environment for learning and business.

Qualifications:

Bachelor's degree required with two- four years of progressively responsible experience providing problem resolution in a senior executive setting. Strong interpersonal and written communication skills (including very strong writing and proofreading skills) required. High degree of diplomacy, customer service and organizational skills required. Demonstrated ability to handle multiple tasks simultaneously, respond to last minute requests, solve problems, act with discretion, adapt to change and maintain professional demeanor at all times. Willingness to be pro-active, take initiative and ownership, build win-win situations. Sound judgment and ability to deal effectively with matters of a highly visible and confidential nature is essential. Must be able to handle sensitive material, maintain highest level of confidentiality, multi-task, set priorities and work independently or as part of a team. High degree of proficiency with MS Office products including Word, Excel, Access, Outlook and database management. Sophisticated experience with Power Point required. This position requires a 40 hour standard work week with extended hours periodically required.
