About the Opportunity:


The Administrative Assistant will work with the College of Science (COS) Academic Advising and Cooperative Education Units. The person in this position will support the day-to-day operations and functions of this fast -paced office. S/he will manage the front desk appointment and communication systems, provide information to students regarding administrative systems, procedures, and policies; assist with managing administrative projects; coordinate and maintain office logistics; be responsible for preparing and tracking department budgets as well as managing department purchasing, invoices and reimbursements. The Administrative Assistant will be the liaison with vendors, the facilities offices, and work with the registrar’s office and other departments as needed to maintain smooth operations of the office.

Responsibilities:

Submitting major and minor changes, preparing and sending out end of the term letters,
preparing NUIn sheets, handling course rollovers and overrides, providing support for the instructors of the INT 1000 and ESC 2000 courses, maintaining and disseminating advisor assignments, preparing reports, following up on emails from the COS inbox, ordering office supplies and equipment, and food, submitting work orders, providing event support, training and supervising work study students, providing budget support and other administrative duties as needed.

The Administrative Assistant will meet regularly with the Assistant Director of Academic Advising to set priorities and goals in order to ensure smooth, efficient and timely fulfillment of duties and responsibilities as well as professional development opportunities and development. Additionally, s/he will work closely with the director and associate directors of the Cooperative Education unit.

Qualifications:

Minimum 2-3 years of administrative experience, preferably in an academic setting. Strong interpersonal, communication and computer skills (Word, Excel, and PowerPoint) required. Proven ability to manage multiple tasks at once, work independently, handle confidential material and be a self-starter. Must be highly organized and detail oriented. Mature, experienced professional, capable of working independently and in an effective and timely manner. Occasional nights and weekends may be required.

Associate's degree required; Bachelor’s degree preferred.
